Our terms and conditions
Below is everything you’ll need to know about lessons with us. If you have any questions don’t hesitate to get in touch!
Communication:
All correspondence is sent out to the students or parents/guardians by email. If you have not been receiving emails, please update your details or contact admin to resolve the issue ASAP.
If an announcement, confirmation or invoice is sent by email, it is assumed it has been received. It is the responsibility of the students or parents/guardians to update us of any changes in contact details.
We will not be held responsible for any missed communications, late/overdue payments, missed lessons, etc. if this is due to incorrect contact information.
Due to the size of our student roll, a portion of communication is done automatically, therefore there is a chance details will occasionally be wrong. If you notice something incorrect e.g. lesson details, account details, invoices with errors, ect. it is not meant offensively.
In these cases please let us know via email so we can rectify the situation as soon as possible.
Online lessons
Students enrolled in private lessons can choose to attend their lessons online via Zoom in the case of mild sickness or if they cannot make the trip to the studio.
Students are to notify their teacher in the 'leave a comment' section of their account.
If a pupil requests an online lesson just before a lesson is scheduled to start, your teacher may use the first few minutes of the lesson to set up.
Online lessons are not offered for group lessons at this time.
Yearly lesson breakdown and costs:
We deliver 49 lessons over the year, the costs of the lessons over the course of the year are divided into 12 equal payments and billed monthly by default.
We have already taken the weeks and months with uneven weeks into account each year, so short months are billed the same as long months.
By default lessons are billed monthly on the 1st by Direct debit.
We charge a 1 time enrolment fee of $25 per family at the beginning of your enrolment, this is not recharged for changing instruments, starting new programs or if siblings sign up for lessons, but may be recharged if a student withdraws from lessons and re-enrols at a later date.
We offer monthly, quarterly and yearly payment plans.
Your payment plan is considered your enrolment period. ie, monthly, quarterly, yearly.
Late or failed payments will result in a late fee of $5, with an additional $5 each 7 days payment remains overdue.
Overdue lesson fees may result in lessons being cancelled and lesson spot being forfeited.
We review our prices every year on April 1st for adjustments to prices and to keep up with inflation.
Lessons missed with notice will result in a makeup credit. More info on lesson credits below.
We are closed on Public holidays.
Group lessons that fall on public holidays may be moved to a different day, or will be issued a makeup credit.
Private lessons that fall on public holidays will be issued a makeup credit.
Books and resources
Your first copy of all twelve tone music books and homework books are included in your lesson tuition fee, in the case of lost or damaged books we do charge a $10 replacement fee.
Students may also receive free printed or digital copies of resources and music. Some extra resources from outside our studio may need to be purchased by the student/guardian.
Enrolled students also get 30% off all other books purchased at our studio.
Lesson withdrawals:
Every student stops taking lessons at some point. Please make this decision thoughtfully with plenty of discussion between the teacher, parent and students so that lessons can end with a positive sense of closure.
By taking weekly lessons students are automatically re-enrolled each enrolment period. If a student wishes to stop lessons they must submit a lesson withdrawal 7 days before their automatic renewal (whether monthly, quarterly or yearly).
Withdrawal notice must via emailed to admin, verbal notice and notice given to a pupils teacher will not be acted upon.
We do not offer refunds for students who withdraw from the middle of an enrolment period.
If a student withdraws any makeup lesson credits will expire once the current enrolment period ends.
Sickness:
Customers and staff will be asked to refrain from coming to lessons if in any way unwell. If a lesson is attended unwell students will be sent home.
No refund or credit will be given if a student is not attending without notice or asked to leave if unwell.
Exceptions are only made for emergencies. (proof may be requested)
In the case of a teacher absence a replacement teacher will be organised. In the case that a teacher is away and we cannot organise a replacement, a makeup credit will be issued and will remain valid for 150 days.
Student behaviour:
It is a parent/guardian's responsibility to ensure the following;
Students behave in an appropriate manner while in the studio and attending lessons.
Students must not run, or engage in rough behaviour while in our studio.
Students must not cause damage to any equipment or behave in a way that will cause damage to equipment.
Students are not allowed in any music rooms without teacher supervision, unless otherwise directly instructed by a teacher. Students are not to let themselves into the music rooms before/after lessons.
Any damage caused to any equipment, furniture or other property by misconduct or rough behaviour will be charged appropriately to the Parent/Guardian.
We will not tolerate abusive or offensive behaviour.
If any of the above are violated, lessons may be immediately terminated.
Twelve Tone Music Academy only provides supervision for students while in a music lesson, it is a parent/guardians responsibility to supervise a child while in the studio, waiting room and car park.
If, in exceptional circumstances, Twelve Tone Music Academy has to cancel the student's lesson due to damage of school property or harassment of staff, this may be done with no notice and no credit or refund for any outstanding lessons.
Cancelling lessons:
All lesson cancellations must be done via our online portal.
Verbal notice given to the tutor will not be acted upon and is not considered sufficient notice.
Private lessons cancelled with more than 24 hours notice will be issued a makeup credit that can be used to book a replacement lesson.
Group lessons cancelled with more than 24 hours notice will be issued a makeup credit that can be used to book into an equivalent class, if there is no suitable classes available then the pupil will not be able to attend a makeup lesson.
Credits expire in 60 days.
You may have 5 credits per student on your account at a time, additional cancellations will not result in a credit until they are used.
Lessons cancelled within 24 hours of the lesson time will not be issued with a makeup credit and the lesson will be forfeited.
Lesson credits assigned from public holidays or teacher abscesses are valid for 150 days.
Holidays and long absences:
In the case that a student will be absent for an entire enrolment period or longer, a student may request their lessons be put on hold. For short breaks students are expected to cancel affected lessons and book their makeup lessons when convenient.
There are 2 kinds of lesson holds.
Lessons on hold:
Lesson time reserved: We will hold your lesson time and teacher/class for when you return. We do charge a reservation fee of $35 per month to hold your time so your current lesson time will be guaranteed when you return.
No reservation: We do not charge a fee, but will not reserve your current lesson/class time, and may have to re-book a new lesson time/class when you return.
Photo/Video policy:
Twelve Tone Music Academy may use film or still photographs of students for appropriate promotional purposes.
You (or your parents if you are under 18 years of age) must inform Twelve Tone Music Academy in writing by filling out our media withdrawal form if you will not allow the use of such images. Unless requested in writing, Twelve Tone Music Academy is granted permission to take photographs/videos of the students to use in brochures, websites, posters, advertisements, and other promotional materials Twelve Tone Music Academy creates. Permission is also hereby granted for Twelve Tone Music Academy to copyright such photographs in its name.
